Important Metadata Notice for Publishers from NIMAC

July 12, 2007

Dear Publisher or Vendor,

This is an important notice regarding batch submissions to the NIMAC. Please find attached the Excel spreadsheet template for use when submitting batch files to NIMAC. As this version of the template includes some minor
revisions, we ask you to please discard any previous versions of the sheet and distribute this template to all vendors who prepare your files for submission.

It has come to our attention through OverDrive that many vendors have not been using the OverDrive Excel template provided in the publisher portal for use with batch submissions--or they have not been correctly filling out the
sheet. This has resulted in inefficiencies and delays in the processing of files.

Please be advised that OverDrive will no longer accept batch submissions in which metadata is not provided using the attached metadata Excel sheet. In addition, they will no longer make corrections on behalf of vendors in cases
where data is misformatted or incomplete. Vendors will be required to resubmit the metadata Excel sheet before files will be loaded. It is the reponsibility of publishers and vendors to contact NIMAC should any questions arise regarding the correct procedures for submitting metadata.

As we do not have contact information for your vendors, please ensure that all vendors receive the attached sheet and that they follow the instructions included in the template for ALL file submissions from today forward. NIMAC will also soon be sending you a much expanded metadata guidelines document for distribution to your vendors. We hope this updated document will serve as a helpful resource for vendors preparing files.
